Job Description:

We are looking for a highly motivated and organized individual to join our customer support team as an Admin & Back Office Support Specialist.
The successful candidate will be responsible for providing administrative support to the customer support team and ensuring smooth operations of the back office.
Based right into our warehouse in Sao Joao da Madeira where we fulfill and ship all our orders internationally, below the main responsibilities for this role.

The main functions of this role include but are not limited to the following:

• Helping to facilitate deliveries, supporting the department with any logistics admin requirement
• Work closely with our forwarders (DHL and UPS) to ensure any dispute or incidence is resolved in an appropriate and timely manner.
• Provide administrative support to the customer support team, including data entry, filing, and other administrative tasks as needed.
• Help resolving chargebacks via supporting relevant documentation to facilitate resolution.
• Support adding tacking numbers on any relevant channel including PayPal.
• Review, authorize or decline any high risk of fraud alerts.
• Support the logistics team with order cancellations or manual amendments.
• Take ownership of the faulty report tracker ensuring customers are compensated and all faultiness is reported.
• Work closely with other departments to ensure consistent customer service levels across the company.
• Provide updates to the team on weekly meetings as well as weekly and monthly reports when necessary.


Qualifications:

• Proficiency with MS Office applications (Word & Excel) and knowledge of cloud-based applications.
• A personable person who is able to work within a team.
• Minimum of 1 year in Retail and E-Commerce customer service.
• Excellent team communication skills.
• Strong organizational and time management skills.
• Ability to work well under pressure and handle multiple tasks simultaneously.
• Knowledge of logistics processes and supply chain management.
• Strong organizational skills.
• Proactive, and a self-starter.
• English both written and oral proficiency is a must.
